EHR Phenotyping 101 is the first in a series of one-hour workshops designed to help researchers and trainees define their data needs more clearly and request data more effectively, so they get the right data, faster. The inaugural session, hosted by CB2, will be held on Thursday, April 9, 2026, from 12:00 to 1:00 PM, both in-person at HSIB on the UA – Tucson campus and virtually via Zoom.
Biomedical researchers often need to identify patient cohorts and extract EHR (electronic health record) data, but many feel overwhelmed by the volume of data and the complexity of the request process. Researchers may know the data they want but struggle to translate those needs into clear, query-ready requests. The process itself can involve multiple steps and may not be straightforward, leading to delays and datasets that may not fully meet study needs.
Participants will learn how to:
- Define precise patient cohorts
- Identify the “minimum necessary”* data needed for their study
- Submit clearer, more accurate data requests to speed approval
(*Aligned with the HIPAA Privacy Rule to support faster approvals.)
The workshop also covers:
- The importance of exclusion criteria
- How interdisciplinary collaboration improves data quality
- Strategies to extract more accurate data from EHR systems (which are primarily designed for billing)
- How to reduce back-and-forth by being more specific upfront
Participants will apply these concepts through small-group scenarios and share their approaches with the larger group. Time for Q&A is included.
